Refunds and cancellations

This policy covers every payment made to Prophesy Again Conference - Botswana for the Prophesy Again Conference 2026 (18 to 26 December 2026, Royal Aria, Gaborone) through this website: accommodation, meals, the safari and other paid extras, vendor booth fees, and gifts.

Accommodation, meals, the safari and other extras

These are booked and paid through your account and are confirmed when the payment provider confirms payment. To cancel a booking, write to finance@prophesyagainconference.com from the email address on your registration, quoting your registration reference.

Cancelled on or before 30 November 2026: a full refund of the amount paid, less any fee the payment provider does not return to us. Cancelled between 1 and 10 December 2026: half of the amount paid. From 11 December 2026, or if you do not come: no refund, because by then the conference has paid the venue and the caterers for the places booked.

A booking may instead be transferred to another registered delegate at no charge at any time before the conference starts. If the conference cannot provide something you have paid for, you are refunded in full for that item regardless of the date.

Vendor booth fees

The booth fee is paid only after an application is approved. It is refunded in full if the vendor withdraws in writing on or before 30 November 2026, and in half between 1 and 10 December 2026. From 11 December 2026 it is not refunded. If the conference withdraws an approval or cannot provide the booth, the fee is refunded in full.

Gifts and donations

Gifts are voluntary contributions towards the costs of the conference and are not refunded, with two exceptions: a gift made in error (the wrong amount, or a card used by mistake) and a gift charged twice. In either case write to finance@prophesyagainconference.com within 30 days of the payment, and the gift or the duplicate is refunded in full.

If the conference is cancelled or changes

If the conference is cancelled, every amount paid for accommodation, meals, extras and booths is refunded in full. If the dates or the venue change substantially, anyone who can no longer attend may cancel for a full refund within 14 days of being told of the change.

How refunds are paid

Refunds go back to the card or account the payment came from, in the currency it was paid in, within ten working days of the conference approving the refund. The payment provider or your card issuer may take a few more days to show it. We do not pay refunds in cash or to a different card or account.

Before you dispute a payment

Please write to finance@prophesyagainconference.com before raising a dispute with your bank or card issuer; most questions are settled within two working days. Every payment carries a reference beginning with pac- that appears on your receipt email.
